Job Summary:
The Accounts Officer is responsible for providing accounting and clerical support to the accounting department. This role involves processing financial transactions, maintaining accurate records, reconciling accounts, and ensuring compliance with financial policies. The position requires strong attention to detail, numerical aptitude, and organizational skills to efficiently manage daily financial operations.
Key Responsibilities:
1. Financial Transactions & Record-Keeping

Maintain accurate records of financial transactions.

Process invoices systematically and ensure correct data entry.

Verify and update accounts payable (AP) and accounts receivable (AR).

Prepare and manage purchase orders (P.O).
-
Chase outstanding accounts receivable (AR).
-
Process and record daily financial transactions in the accounting system.
2. Accounts Payable & Accounts Receivable

Verify the Statement of Accounts (SOA) for both AP and AR.

Process payments to creditors and reconcile outstanding balances.
-
Ensure that invoices and credit notes are recorded correctly.

Verify supplier accounts and reconcile discrepancies.
3. Bank & Cash Reconciliation

Perform bank and petty cash reconciliations in a timely manner.

Prepare bank deposits and general ledger postings.
-
Ensure financial reports are up-to-date.
4. Compliance & Verification

Ensure VAT is accounted for correctly in invoices.

Maintain accurate financial documentation for audit purposes.
-
Verify creditor statements and identify discrepancies.
-
Report and rectify incorrect postings in the accounting system.
5. Documentation & Filing

Maintain an organized filing system for invoices, tax returns, and administrative documents.

Archive invoices and financial documents systematically.

Ensure compliance with VAT and tax filing requirements.
6. Supplier & Stakeholder Communication

Assist in inventory tracking (if applicable).

Conduct spot checks on financial records.

Process and verify bank statements and cleared payments.

Assist management with delegated financial tasks.

Support the Financial Controller in preparing final accounts.
Key Skills & Competencies:
Strong attention to detail and accuracy in data entry.
Proficiency in Microsoft Office (Excel, Word) and accounting software.
Ability to process financial transactions systematically.
Good understanding of AP, AR, VAT, and bank reconciliation.
Strong organizational skills for documentation and record-keeping.
Excellent communication skills for handling suppliers and internal stakeholders.
Ability to multitask and meet deadlines.
Qualifications & Experience:

Diploma / Degree in Accounting, Finance, or related field.

Prior experience in an accounting or clerical role is preferred.

Knowledge of accounting software and financial regulations.

ACCA certification or ongoing ACCA studies (preferred).
